Your Shorts are public statements, so keep the script on file

    OliviaBy OliviaOctober 20, 2026No Comments6 Mins Read

If you post short-form video as a founder or executive, the cheapest habit your team can build is pulling a youtube short transcript the same day each clip goes live. A Short feels too small to document. It is still a public statement made under your name, and a statement that exists only as audio can’t be searched, quoted accurately, reviewed by counsel or turned into anything else.

Most leaders who film Shorts do it the easy way: phone on a stand, a thought from a customer call, one or two takes, publish. That informality is the point of the format and the reason people watch. It is also why nobody on the team can say, a month later, exactly what was claimed in the clip about the new pricing model.

The camera is casual, the claims are not

Spoken sentences carry more commitments than they seem to. “We’re the only platform that does this.” “Our customers save hours every week.” “We’ll ship it before the end of the year.” Each of those would get a second look from legal or communications if it appeared in a press release. In a 40-second video recorded between meetings, it usually goes out untouched.

Writing the words down changes how they get treated. Once a Short has a text version, it can go through the same light review as any other public copy and be reused without someone rewatching the clip and typing.

What the written version does for you

Reuse comes first for most teams. A minute of an executive talking holds a LinkedIn post’s worth of ideas, sometimes a newsletter paragraph. The transcript is the raw material, though rarely the finished text. Spoken language needs editing: filler openers, half-finished sentences, the moment where you restarted a thought. Edit for reading, and keep the substance.

Compliance is the less glamorous reason, and in regulated sectors it is the main one. Financial services, health, anything near securities or public-company disclosure: claims made on camera are claims made in public. If your Shorts are improvised (most are), the transcript is the only reliable record of what was actually said, as opposed to what was planned. A reviewer can read 150 words in under a minute.

Consistency matters as soon as more than one leader posts. When the CEO, the head of product and two sales leaders all film Shorts, they will describe the product in slightly different terms, and sometimes those differences turn into contradictions. A shared folder of transcripts lets whoever owns messaging read across all of them in one sitting and spot the drift before customers do.

Accessibility closes the list. Many people watch Shorts muted. Auto captions get them most of the way, but they stumble on exactly the words an executive cares about: product names, company names, acronyms, the surname of the customer you just thanked. A corrected text version can go back onto your own video as captions through YouTube Studio.

A routine your team can run in ten minutes

The work belongs to an assistant, a comms lead or whoever publishes the clip. The executive’s part is reading the claims, which takes two minutes.

    1. Wait until captions exist. Shorts usually carry only YouTube’s auto-generated track, and a brand-new upload may not have it yet. If the transcript comes back empty right after publishing, try again later rather than assuming the video can’t be captioned.

    2. Copy the Short’s link (the /shorts/ address or a share link with ?si= on the end both work) and paste it into the Shorts transcript page on TranscriptYou. It is free and needs no account or extension. On a Short we tried, the text came back in about 5.4 seconds with a single track labelled “English (auto)”. Check the “Transcript language” menu anyway, in case the video carries more than one track.

    3. Download a .txt with timestamps on for the archive copy, and another with timestamps off for the editing copy. If your video editor wants the captions back as a file, take the .srt instead.

    4. Verify every number, product name and personal name against the source. Auto captions mishear these more than anything else, and a wrong figure in a LinkedIn post is worse than no post.

    5. File it. A shared folder or document sorted by date, with the video link and the transcript’s shareable page URL, is enough. Reopening that page later loads the transcript again.

    6. Flag anything that needs review: forward-looking promises, comparisons with competitors, customer names, figures. Send only those lines to legal, not the whole archive.

The step most teams skip is the fourth, and it is the one that matters most for an executive. A transcript tool reproduces what YouTube’s captions say. If the auto captions turned your product name into two unrelated words, the transcript will too.

    Where this breaks down

The tool reads captions that already exist on YouTube; it doesn’t listen to the audio itself. A Short with no caption track at all returns a plain message saying no subtitles or transcript are available. Private and members-only videos won’t work, and neither will a clip still sitting as a draft on someone’s phone. For those, keep the original recording, or run the source file through a speech-to-text service before publishing.

Auto captions also come without much punctuation, and some lines in the .txt keep the line breaks from the original captions, so expect a minute of cleanup before pasting into a document. There is no VTT export, only .txt and .srt, which matters if your platform specifically asks for VTT.

And a transcript is a draft of the record, not the record. If a statement ever becomes contentious, the video itself is what people will cite. Use the text to find the line quickly, then watch that part of the clip before anyone quotes it in an email.

    Who should own this

Give the routine to one named person and attach it to the publishing step, so the transcript is pulled by whoever pressed upload, on the same day. Teams that leave it as a weekly batch job end up with a backlog nobody clears.

If you film several Shorts a week, ask for one more thing: a short monthly read of every transcript, side by side, by the person who owns your messaging. That read is where the phrase that crept into three different leaders’ videos without anyone approving it usually turns up.
