    7 Marks of Intelligent Digital Signage

    So here is a practical scorecard. Genuinely intelligent digital signage does the following seven things. Run your current setup against the list and count the hits.

    1. It responds to something other than a clock

    Most estates, including expensive ones, run fixed playlists on a timer. Content rotates in a set order at a set interval, regardless of what is happening in the business. That is a calendar with a screen attached. Intelligence starts when the display changes in response to real conditions: a live figure crossing a threshold, an incident being logged, a new post landing in a source system.

    2. It knows who is standing in front of it

    A distribution centre at 6 am has a different audience with different needs than the same building at 3 pm. Screens that adjust by site, shift, team or role are doing something a playlist cannot. The rule is set once and then applies itself across every location, with no one having to remember it.

    3. It pulls from the systems you already use

    Content already exists inside your organisation, in Teams, SharePoint, Slack, intranet feeds, HR systems and BI tools. If your screens require someone to export, reformat and re-upload that material, you do not have intelligent digital signage. You have a manual one with a nice interface. Native connections to existing sources are the difference between content that flows and content that gets forgotten.

    4. It has an opinion on content quality

    This is the mark almost nobody offers. Most systems will happily display a wall of nine-point text lifted from a Word document, because they have no view on whether the content is any good. A system worth the label evaluates what it is about to show against communication standards: legibility at distance, brand consistency, message density. It flags problems before the audience sees them.

    5. It retires content without being asked

    Stale screens are rarely caused by nobody publishing. They are caused by nobody unpublishing. Expiry rules, automatic replacement and fallback content mean an out-of-date notice comes down on schedule and something relevant takes its place. No blank screens, no event promotion still running three weeks after the event.

    6. It tells you what actually displayed

    “The file played” is a technical measure that tells you very little. What matters is knowing what appeared, on which screens, at which sites, and whether anything failed silently. If you find out a screen has been dark for two days because a manager mentioned it in passing, the visibility layer is missing.

    7. It knows what it is not allowed to do

    Intelligence without governance is a liability. Any system that can select and publish content on its own needs equally clear limits: approval steps for sensitive material, brand rules it cannot override, whatever the source content says, permissions that let local teams post locally without touching head office screens, and a complete audit trail. Ask a vendor these questions. How they react is informative.

    Scoring it

    Six or seven: you are in a small minority and probably already seeing the results.

    Three to five: the foundation is solid, and the gaps are usually quality and measurement, which are the two hardest to retrofit.

    Zero to two: your screens are running on effort rather than intelligence, and that effort is coming out of somebody’s week.

    Why this is worth fixing now 

    For a long time, workplace screens were a nice-to-have. That has changed for a specific reason. A large share of the workforce has no desk, no company inbox and no realistic chance to read a 600-word all-staff email mid-shift. For manufacturing, logistics, healthcare, retail and hospitality organisations, screens are frequently the only channel that reaches everyone without a device or a login.

    Once a channel becomes essential, “we put something up last month, and it is probably still there” stops being acceptable.
